In today’s complex regulatory landscape, ensuring compliance without burdening employees is a significant challenge. For organizations subject to emerging and expanding cybersecurity directives, such as NIS2 in the EU, maintaining data privacy and security during video meetings is more critical than ever before.

But how do you make video conferencing compliance easy for employees?

This is a paint point that Pexip addresses, as part of its efforts to simplify secure video conferencing. We do this through our one-click ‘Secure Meeting’ button that can be integrated with communication tools and calendars, such as Outlook. With this option, employees can assess whether they should use their everyday video meeting solution or the ‘Secure Meeting’ option before scheduling their next meeting.

“We have grown accustomed to protecting our emails with various classification levels and passwords, and often, the same goes for how we store and secure documents. A video meeting should be treated no differently,” says Helge Hansen, SVP of Strategy at Pexip.  “To meet the growing confidentiality needs of sectors such as enterprise, public sector, and healthcare, we have designed a seamless and secure video meeting experience,” he adds.

We call it the two-button solution.

Your video meeting options can stand side-by-side in the user interface, making it an extremely simple matter of selection for employees: they simply choose between ‘standard’ or ‘secure’. When they select the ‘Secure Meeting’ option, this activates enhanced security protocols to ensure that the meeting complies with internal and regulatory standards and requirements – suited to the sensitive or confidential nature of the meeting.

This approach encourages compliance among employees without training or changes in user behavior. With just a click, they can make more security-conscious decisions and enhance overall organizational security.

Putting more secure options in employees’ hands

Pexip caters to a more secure meeting experience by offering features and functions that give more control to the employees. The host can opt to require a PIN to access the meeting, followed by an authentication request, for example. The meeting host can also reject or accept participants based on customer directory attributes, to ensure that the right people are in the right meeting. A pre-recorded security message can also be integrated, alerting participants to the sensitive nature of the meeting before they join.

“It’s important that having secure meetings isn’t a burden, which is why it’s key for organizations to integrate a secure video solution alongside their everyday solution. This encourages meeting hosts to reflect on the types of discussions to be had, and what level of protection those discussions require, and then act accordingly,” says Helge.
